AI Workflow Orchestration

Replace ad hoc AI use with controlled, auditable workflows

Most AI tool use in Irish businesses is ungoverned. This service changes that.

EU Data Residency Green List: Irish SME Edition

AI tools assessed against three criteria: EU data residency guarantee, no training on customer data, and a signed DPA. Use it before selecting tools for any governed AI workflow.

The Problem

Why this matters

Eighty-nine percent of Irish SME leaders report using AI tools. Only twenty-nine percent have deployed AI agents in their workflows (OpenAI Irish SME AI Report, 2026: theinnovationexchange.ie). The gap between casual AI use and governed AI orchestration is where most organisations carry their compliance and operational risk.

In regulated environments, an AI-assisted process without a defined workflow is a liability. If the output varies depending on who runs it, if there is no record of what input was given and what output was produced, or if there is no human oversight checkpoint before a decision is made, the process is not audit-ready.

The problem this solves is not how to use AI. It is how to use AI in a way that is reliable, repeatable, auditable, and defensible to a regulator, an auditor, or a senior stakeholder.

A workflow follows a fixed sequence defined in advance. An agent decides its own steps at runtime. Most SME use cases need workflows, not agents. For regulated businesses, non-deterministic AI systems that take action without human oversight are a governance failure.

What Is Included

A structured engagement from current state mapping through to a fully documented, implemented workflow:

  • Current state process mapping: how the workflow actually runs today, including all AI touchpoints and quality failures
  • Target state workflow design: deterministic steps, named owners, human oversight checkpoints, and fallback paths
  • Tool selection: platform chosen to integrate cleanly with your existing systems, with EU data residency where required
  • Build and testing: workflow implemented, tested against edge cases, and validated by the process owner
  • Documentation: step-by-step procedure written to the level where a new employee could operate it
  • Handover training and operating guide

The client owns the workflow at handover. It runs without ongoing dependency on Clear Gate Systems.

Deliverables

What you receive

  • Current state workflow map: process steps, AI touchpoints, decision points, quality failures, and compliance risk flags
  • Target state workflow specification: deterministic steps, ownership, oversight checkpoints, fallback paths
  • Implemented workflow on agreed platform, tested and validated
  • Architecture decision record: tool selection rationale, alternatives considered
  • Step-by-step operating procedure
  • Complete test evidence record
  • Known limitations and edge case handling documentation
  • Incident response playbook for this specific workflow
  • Handover documentation and operating guide

Scope and boundaries

What we are

We have received comprehensive training and are knowledgeable across the full scope of EU AI Act obligations: risk classification, provider and deployer requirements, governance architecture, post-market monitoring, and fundamental rights assessments. Clear Gate Systems applies this knowledge to design and implement technical governance architecture for clients.

What we are not

Clear Gate Systems does not provide legal advice, legal interpretation of specific obligations, or regulatory representation. Where your organisation requires a formal legal opinion, on the classification of a specific system, on contractual obligations with an AI vendor, or on regulatory exposure, a qualified solicitor or barrister must be engaged. Our role is to build the technical governance infrastructure that qualified legal counsel can stand behind.
